    I took Senior pix for a families' kids the last couple years.
    The dad has liked my work, and wants to hire me to a gov't contract to do yearly photos for the ROTC class that he teaches.

    He's the instructor, and has all the info on the previous photog that they're no longer using (package pricing...dates, time req's, ect). I'm meeting up with him next week to discuss further details.

    Class size: ~160 kids
    Photos to take: 1 of whoooole group, 1 per "instructor"/officer, 2 poses (hopefully, or maybe just 1) per student.
    Pay: Flat rate for the entire shoot (to include a 16x20ish size of the whole class), package sales to each student's parnets.

    So I'm meeting with him, what should I be asking? Should I have package prices together...if so, is there a thread someone can point me to to help set up packages and pricing (I've been googling various studios in the area to pilfer they're packages too).

    Awesome! I can't help on pricing, but congrats on getting the foot in the door, hopefully matt or someone can come in and give you a bit more about pricing and what to expect.

    Find out some information, like how long the shoot will be. How many photos it will intail, how much PP time is involved. Are you responsible for getting the prints? Do you get the profit from parent sales? Work out a fair hourly rate with all those factors. it will give you a good idea on what you should ask for.

    suuuuuuuuuuure.... so you come back when you neeeeddd something.

    seriously dude, that's awesome, but I have zero clue what to charge. I'd make sure you're getting at least $25 per hour and doubling the costs for anything you sell them (prints).

    Honestly, though...we had some medical things happen with my wife last summer (there's a thread in OT for those who care to look)...and with the kid getting more active, I haven't done much photography since

    I've done about a dozen photo shoots for clients (referals really), but zero fun stuff lately...
    Well, that's not true, I snap a couple shots here or there, but almost nothin' is even PP'd...

    All that being said, I do take the business when it comes...
    And I've been in NSOP a few times this month now.
    I'm talking with the guy again tonight.

    Details I know so far...
    - I will be setting up the gov't contract for not just this year, but years to come.
    - He has alot of the specifics on what the prev. photog did, incl. his previous pricing, which of course I am to beat.
    - I bill the contract for hours worked that day (I think it'll be one full week day, 9-4-ish).
    - I make all the prints thru my local lab (http://www.alliedphoto.com/)
    - I provide prints of the group (16x20) and instructors as part of the contract
    - Each student/parnet gets to chose a package of my making
    - Prints (and PP) are done by me thru my lab (and 100% my profit)...checks made to JBRoose Photography.

    Update:

    The shoot is on wednesday.
    Here is the contract I've come up with, along with packages...
    PHOTOGRAPHY AGREEMENT – JBRoose Photography
    Event Date: March 5th, 2008 Time Photography Starts: 7:45AM Time Photography Ends: 2:45PM
    Event Location:

    Event theme: JROTC Class Photos (In Uniform)
    Photography fee agreed to: $0(includes travel, set-up, breakdown time). Photography fees are to be covered by individual student package/photo sales
    Expenses: None Add’l (All travel and transport costs covered under Photography fee)
    PACKAGE AND SERVICES INCLUDED FOR THE FEE STATED ABOVE: Included in the package is:
    - All photography & gear at the event
    - Poses (shots): 1 pose per student, 1 group pose per class period (1st, 2nd, 3rd, 5th, 6th)
    - All photo processing for class samples (5x7s, see next point)
    - Photo book (containing 1 group pose from each class period, total of 5), provided to the JROTC department.
    ENTIRE AGREEMENT: This agreement contains the entire understanding between JBRoose Photography and the CLIENT. It supersedes all prior and simultaneous agreements between the parties. The only way to add or change this agreement is to do so in writing, signed by all the parties. If the parties want to waive one provision of this agreement, that does not mean that any other provision is also waived. The party against whom a waiver is sought to be effective must have signed a waiver in writing.
    It is understood that JBRoose Photographer is the sole professional photographer allowed to photograph the event. Individual photos and packages will also be made available for purchase by each student, from JBRoose Photography.
    SHOOTING TIME / ADDITIONS: The photography schedule and selected methodology are designed to accomplish the goals and wishes of the CLIENT in a manner enjoyed by all parties. Student photography will be taken of the entire class, during their respective class periods. Shooting commences at the each class start time and is limited to that class period for those students.
    FILM and COPYRIGHTS: The photographs produced by JBRoose Photography are protected by Federal Copyright Law (all rights reserved) and may not be reproduced in any manner without JBRoose Photography's explicitly written permission. The Client must obtain written permission from and compensate JBRoose Photography prior to the CLIENT or its friends and relatives publishing or selling the photographs for profit.
    RELEASE and EXHIBITION: Requests for specific negatives, slides or proofs to be used by JBRoose Photography may be requested and are guaranteed to be available within 1 year of shooting; after the one-year anniversary of the services provided, JBRoose Photography reserves the right to dispose of any digital files as they see fit. Images can be permanently archived for an additional fee. CLIENT grants JBRoose Photography permission to display selected images resulting from this assignment as an example of Photography work and for entrance into photographic competitions and release all claims to profits that may arise from use of images.
    MODEL RELEASE. The CLIENT hereby grants to JBRoose Photography and its legal representatives and assigns, the irrevocable and unrestricted right to use and publish photographs of the CLIENT or in which the CLIENT may be included, for editorial, trade, advertising and any other purpose and in any manner and medium; to alter the same without restriction; and to copyright the same. The CLIENT hereby releases JBRoose Photography and its legal representatives and assigns from all claims and liability relating to said photographs.
    LIMIT OF LIABILITY: In the very unlikely event that the photographer is injured or becomes too ill to photograph the event, JBRoose Photography will make every effort to secure a replacement photographer. If the situation should occur and a suitable replacement is not found, responsibility and liability is limited to the return of all payments received for the event package. JBRoose Photography takes the utmost care with respect to exposure, transportation, and processing the photographs. However, in the unlikely event that photographs have been lost, stolen, or destroyed for reasons within or beyond JBRoose Photography's control, JBRoose Photography liability is limited to the return of all payments received for the event package. The limit of liability for a partial loss of originals shall be a prorated amount of the exposures lost based on the percentage of total number of originals.
    JBRoose Photography shall not be held accountable for any unforeseen delays in the order(s), color fading of prints over time, color balance problems with digital files or images due to improper or inadequate lighting at the event site that is beyond the control of the photographer, grainy files which are usually caused by inadequate lighting or having to photograph images in available or mixed lighting at high ISO film settings when adequate or no flash photography is allowed or prohibited, missed shots, or lab mistakes. Copies of digital images will be stored on hard drives and can be made available up to one year after the event for a nominal fee.
    COMPLETION SCHEDULE: Processing, Photo Book and proof creation takes approximately four weeks. Student packages will be available within 4 weeks from order submission.

    I was originally going to charge $25/hr x 7 hours for the day of, but I don't yet have a tax ID number (EIN #), so I can't invoice the ISD without one. My DBA# doesn't suffice . So, I guess I make the difference in package sales to the parnets. :-\. So, I added a couple bux to each package price, which I didn't really like doing...but cho' gotta' do what'cha gotta :-\. Preferably, the packages would have been a couple dollars cheaper...but I think they're okay good as is.

    I've baked in ~20 minutes worth of processing time into the package prices, with doubling my profit on the lab price of the photos (which is usually $2.10 per "8x10 unit").

    If all of this goes well, there is a "formal dance" that they have later this month that they may like me to shoot as well. Here's hopin' and prayin'
